The Sales Operations Support Specialist provides comprehensive administrative, financial, and operational support to the NGP Retail department by ensuring the accuracy and completeness of daily retail transactions, financial closings, bank income reconciliations, sales postings, inventory movements, and accounting documentation across all retail stores and mobile trade retail units (MTRs).

Key Responsibilities

Financial Closing, Banking Control and Revenue Reconciliation

• ​​​​​​​​​​​​​Perform daily financial closing for all retail stores and MTRs.
• Verify daily sales, returns, discounts, and payment transactions recorded in 1C and SAP systems.
• Reconcile daily sales recorded in 1C against bank acquiring statements, POS terminal reports, payment gateway reports, SAP billing records, and cash collection reports.
• Monitor daily bank account incoming transactions and verify that all settlements from acquiring banks and payment providers have been received correctly and within agreed settlement cycles.
• Perform daily reconciliation between actual sales, bank deposits, acquiring settlements, cash receipts, SAP Accounts Receivable balances, and 1C sales records.
• Verify income received from all retail brands and stores and ensure consistency between sales records and actual bank receipts.
• Prepare and maintain daily reconciliation files by store, MTR, and payment method.
• Investigate and resolve discrepancies related to missing bank settlements, underpayments or overpayments, payment provider deductions, duplicate transactions, sales posting errors, and cash shortages or overages.
• Monitor settlement cycles from banks and payment providers including Kaspi, Halyk Bank, Citibank, Wolt, Glovo, Yandex, and other approved platforms
• Ensure timely escalation of unresolved discrepancies to Accounting, Finance, Supply Chain, and Retail Management
• Support daily SAP sales billing and reconciliation procedures by validating uploaded sales and return data originating from 1C
• Verify completeness and accuracy of daily sales uploads, sales orders, return transactions, billing documents, and revenue postings in SAP

Accounting Documentation Management

• Collect, review, organize, and archive accounting and supporting documentation
• Ensure proper completion and storage of primary accounting documents
• Prepare documentation packages for submission to Business Division and Finance department
• Coordinate document signing, approval, and transfer processes.
• Monitor document completeness and compliance with internal controls
• Maintain document registers and archives according to company requirements and statutory retention periods

Cash Book Administration

• Maintain and control store cash documentation in compliance with Kazakhstan accounting requirements
• Prepare and print hard-copy cash books (cash registers/journals) in accordance with applicable accounting regulations and company procedures
• Verify completeness of cash-related supporting documents
• Ensure proper filing and storage of cash books and cash documentation
• Support internal and external audits by providing required cash and accounting records

Store Administration and Reporting

• Support store management with administrative and operational reporting
• Prepare reports, schedules, trackers, and operational summaries
• Maintain records related to store administrative activities
• Assist in budgeting and monitoring spending on consumables for stores and MTRs
• Track and maintain records of operational requests and approvals

Inventory and Commercial Control

• Participate in stock counts and inventory audits
• Support the coordination of store inventory activities
• Verify inventory documents, transfer records, return documents, and reconciliation reports
• Review inventory variances and prepare supporting documentation
• Assist management in investigating stock discrepancies

Inventory Movement and Store Transfer Monitoring

• Monitor and verify stock transfer orders (STO) between warehouses and retail stores
• Review inventory movement documentation including transfers, receipts, goods issues, and goods receipts recorded in SAP
• Verify accuracy of transfer quantities and supporting documents
• Coordinate with stores and logistics teams regarding inventory discrepancies
• Assist in reconciliation of inventory transfers between SAP and store records
• Support investigation and resolution of stock movement discrepancies and inventory variances

Team and Operational Support

• Support communication between stores, MTRs and head office departments
• Escalate operational risks, compliance concerns, and process deviations
• Assist managers with administrative tasks and operational coordination
• Support implementation of new procedures and process improvements

Qualifications and Competencies

Education

• College diploma or bachelor’s degree in Accounting, Finance, Economics, Business Administration, or a related field is preferred

Experience

• Experience in retail administration, accounting support, finance operations, or document management is preferred
• Experience working with 1C, SAP, ERP systems, or retail management systems is an advantage

Technical Skills

• Strong numerical and analytical skills
• Advanced attention to detail
• Good knowledge of Microsoft Excel and Office applications
• Ability to work with large volumes of financial data
• Understanding of accounting documentation and cash handling procedures
